The Tenants Law Firm (the “Firm”, “we”, “us” or “our”) is a nonprofit organization committed to fighting for tenants’ rights and justice. Contacting the Firm does not legally obligate the Firm to represent you as your attorney. The Firm will not undertake legal representation for anyone without a written and signed retainer agreement.

This Privacy Policy describes how we collect, use, disclose, and safeguard the personal information you provide to us (including via our website, intake forms, email, phone or other communications). By using our website or contacting us, you consent to the practices described in this policy.

2. Scope & Applicability

This policy applies to personal information about individuals who (i) contact us, (ii) fill out our intake forms or otherwise engage with our services, or (iii) visit our website. If you are a resident of California, you may have additional rights under the CCPA/CPRA (see Section 8).

3. What Information We Collect

We collect information that you voluntarily provide to us, such as:

  • Your name, mailing address, email address, phone number.

  • In many cases for potential clients: your landlord/tenant information, lease dates, habitability issues, medical treatment information, other tenants in building, etc.

  • Records of your communications with us (emails, phone logs, intake form responses).

  • Automated data via our website (e.g., IP address, cookies, browser type, visit times).

We do not sell your personal information (see Section 5).

4. How We Use Your Information

We may use your personal information for purposes including but not limited to:

  • Evaluating whether we can take on your case; processing intake information.

  • Storing and organizing intake information, notes, and related documentation in our case management system so that staff and attorneys can efficiently track and manage potential and active matters.

  • Communicating with you about our services, events, newsletters (where you have opted in).

  • Maintaining our operations, supporting our nonprofit mission of tenant advocacy.

  • Complying with legal obligations (for instance, in connection with litigation or regulatory requirements).

  • Improving our website, managing cookies/analytics, and improving user experience.

5. No Sale of Personal Information / Limited Sharing

We do not sell your personal information. For California residents: we do not “sell” or “share” your information for cross‐context behavioural advertising or broker it for value. (If this ever changes, we will provide the required “Do Not Sell or Share My Personal Information” link as required by California law).

We may share your information with third-party service providers or contractors (for example, website hosting, analytics, intake form software), but only to the extent necessary to deliver our services, and under confidentiality terms. We may also disclose your information where required by law (e.g., a court order) or when you sign a retainer agreement and we need to use the information to represent you.

6. Cookies & Website Analytics

Our website uses cookies and similar technologies to collect information about how users browse the site (e.g., pages visited, duration). You may choose to disable cookies via your browser settings, though that may affect your ability to use certain features of the site. We use analytics tools to help us understand website usage and improve our online presence.

7. Security & Retention

We take reasonable administrative, physical and technical safeguards to protect your personal information from unauthorized access, disclosure, alteration or destruction in accordance with applicable law (see also ABA guidance for law firms).
We retain personal information only as long as needed for the purposes described above, or as required by law. If you become a client, different retention protocols may apply under attorney-client and legal obligations.

8. California Resident Rights

If you are a resident of California, you may have rights under the CCPA/CPRA, including the right to:

  • Know what categories of personal information we collect about you, and the purposes for which we collect it.

  • Request deletion of your personal information, subject to certain exceptions.

  • Request correction of inaccurate personal information.

  • Opt-out of sale or sharing of your personal information, if applicable (we currently do not sell or share).

  • Non-discrimination for exercising your rights.

9. Minors

Our services are directed to adults (tenants, tenants’ rights). We do not intentionally collect personal information from children under 16. If we become aware we have collected information from a child under 16 without verifiable parental consent, we will delete the information as required by law.

10. Changes to This Policy

We reserve the right to amend this Privacy Policy from time to time. We will post the revised policy on our website with a “Last updated” date.
